Privacy policy

1. Who we are
Siteboard is provided by Escargo Technologies, 22 Laurences Park, Drogheda, Co. Louth, A92 T6N2, Ireland. Questions about privacy: hello@escargo.ie or +353 85 826 8648.
2. Two roles
- Our own customers' account and billing details. For the business that subscribes (name, contact person, email, phone, billing and payment records), we are the data controller.
- What our customers put into Siteboard. A building company using Siteboard decides what it records about its staff, subcontractors and customers. For that data the building company is the controller and we are its processor: we handle it only on its instructions, to run the service. If you are a worker or a homeowner whose details are in Siteboard, please contact the company that uses it first; we will help them answer you.
3. What data is handled
- Account details: name, email address, phone number, role, language and login records.
- Work records: jobs, tasks, schedules, daily site reports, notes, materials, messages and notifications.
- Time records: clock-in and clock-out times and hours worked. Siteboard does not track location.
- Photos, drawings and documents that users upload, including design pictures a homeowner adds to their own job.
- Audio of meetings, only when the company chooses to record and everyone has been told. Recordings are turned into text and a summary.
- Billing records: invoices, payments and proof of bank transfers. Card details are handled by Stripe; we never see or store full card numbers.
- Technical data needed to run and secure the service, such as device type, error logs and notification settings.
4. Why we use it and our legal basis
- To provide Siteboard under our contract with the subscribing business (contract).
- To bill, keep accounts and meet tax law (legal obligation).
- To keep the service secure, fix problems and improve it (legitimate interests).
- To send service emails and reminders, such as invoices, sign-in links and calendar reminders (contract and legitimate interests). We do not send marketing to users of our customers.
We do not sell personal data and we do not use it for advertising.
5. Who helps us run Siteboard
We use these service providers, each under a data processing agreement:
- Supabase: database, file storage and sign-in, hosted in the EU (Ireland).
- Netlify: delivers the website and app files.
- Stripe: card and other online payments.
- Resend: sends service emails.
- OpenAI: translation of crew messages, reading supplier bills, and turning meeting recordings into text and summaries, only when those features are used. Files are sent for that one task.
- Phone and browser makers' notification services (for example Apple and Google): deliver alerts to devices that have switched them on.
Some of these providers are based in, or use staff in, the United States. Where data leaves the European Economic Area, it is protected by the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.
6. How long we keep it
- Customer content is kept while the subscription is active. After it ends, the business can ask for a copy for 30 days, and we delete it within 90 days.
- Invoices and payment records are kept for 6 years, as Irish tax law requires.
- Backups are overwritten on a rolling basis.
7. Security
Data is encrypted in transit and at rest. Each company's data is kept separate, and the database checks who is allowed to see each record. Staff see only what their role allows, and homeowners see only their own job.
8. Your rights
You have the right to access, correct, delete, restrict or object to the use of your personal data, and to receive a copy of it. Contact us at hello@escargo.ie. If your data was entered by a building company, we will pass your request to them. You can also complain to the Data Protection Commission (dataprotection.ie).
9. Cookies
Siteboard uses only what is needed to keep you signed in and to make the app work offline on your phone. We do not use advertising or tracking cookies.
10. Changes
We will update this policy if how we use data changes, and change the date at the top. Important changes will be emailed to our customers.
